Reflecting on a Year of Community and Growth. In 2023, CIONET Belgium has continued to foster a vibrant community through a series of successful events:๐ฅ We have organised 209 events, including community gatherings, roundtables, tribe sessions, and hospitality happenings.๐ฅ Our community has grown to 1,200 members, marking an approximately 15% increase in our network of professionals and IT experts.๐ฅ Throughout the year, 267 speakers have shared their insights, contributing to the collective knowledge of our community.๐ฅ A total of 823 individual members have participated in at least one event. On average, a member attends more than 3 events annually.๐ฅ Our Summer Festival stood out as the biggest annual gathering of Belgium's digital community, drawing over 200 participants.๐ฅ The near 100% show rate at roundtables is exceptional in the event landscape. This success is attributed to a combination of high-level attendees, a balanced mix of IT providers and users, and the solid selection and preparation in collaboration with speakers. My non-negotiables for every event I attend.- Attendees that matter. I need cues that the right people are there.- Sponsor presence. An under-sponsored event is not a good sign.- Interesting destination. Because I live in Vegas and know the Venetian parking lot better than my house.- Great food and entertainment. Because I want to have fun, and the event experience is also a hospitality package.- Structured networking.Because a show that relies on serendipity is just poorly planned and lazy.- Laser-focused content. Because I have no time to waste listening to panels saying how โimportantโ a topic is.- Sustainability.Because it shows you care for the attendees and the local community- Clear comms.A random email with somewhat comprehensive info doesnโt cut it. Or no email, or too many emails.- Recordings available.Because I want to focus on meeting people. Iโll catch up on all the sessions I missed later.What are your non-negotiables?P. S. Yes, yes, yes! I'd build upon this and include:๐ฉ Not only an interesting destination, but it must be accessible to get to. Check flight patterns from major cities before booking your venue.๐ค You don't want an under sponsored experience, but your sponsors also must be relevant to your messaging. Don't have sponsorships overpower your brand and ensure on-site creative tactfully displays this balance.๐โ๏ธ There must be a clear path to a customer experience or help rep. No matter how meticulously an event is planned, guests will need aid and we must ensure there is someone to assist that has a deeper understanding of the experience. ๐ Tied to sustainability, can we please just ban giveaways of pens, notebooks, water bottles and any other items that are passรฉ and unnecessary? A giveaway should have some storytelling, provide personalization when possible, and tie back to the feeling your brand is trying to evoke. ๐ Obvious but make it FUN! Connecting IRL is the bread and butter of life, so while you hammer home your KPI's, ensure you don't forget to be playful!

Too many IWD events to attend.International Women's Day is upon us once again, and this year, we are #inspireinclusion. Event fliers have been seen, you have registered for various ones, and now it seems your calendar is full of IWD events. Not to mention, it's not likely to get the day off to attend these events. How do you determine which to attend and which to let go of? Left to me I'll say we attend all, but we can't have our cake and eat it. 1. Timing: How does this event fit in with my schedule? Would I be at a meeting in the office, en route to work, on my break or at home at the end of the day's work? Figuring how the time of the event fits into your schedule eliminates distractions coming up when you want to concentrate. 2. Value: We all stand for more inclusion, but not all inclusion pertains to us. Select events that align with your industry and personal goals. Don't attend events just because there are events. Determine what you intend to get out of the event and then select.3. Speakers: There are individuals you have cold-emailed and sent pitches to who never responded. Campaigns and events like this allow you to put yourself on their radar. Research the event, get strategic questions and prepare to engage with them. 4. Costing: How does the event work with my budget, is it free, are there paid sessions I would like to be a part of? Do my transportation and budget fit into it? A very easy way to get a free paid event from work is to pitch an event in your industry to your superiors that you would like to attend (ensure to research before pitching). Highlight the value of the event and the ROI you attending the event would bring to the organisation. They would be more likely to give you the day off and sponsor you if you play your cards right. I will be attending the Nigerian Women in PR on the 20th of March. What events are happening in your industry? The Eastside Rooms' cost of living impact survey reveals that 45% of associations/not for profits are seeing increased difficulty in securing sponsorship for their conferences and events. The Eastside Rooms recently conducted a survey of 125* event professionals from around the world to identify challenges and opportunities faced due to economic challenges.The challenge of securing sponsorship cited by the 45% of association/not for profit respondents is compounded by the 41%, who are seeing a decrease in available funds. This means that even when sponsors are willing, they currently have less to spend.Adding to the difficulties faced by the associations/not for profits is a reduction in available sponsorship opportunities. Approximately 29% said they are finding it harder to identify and offer sponsorship opportunities, led by challenges such as lower delegate numbers and smaller exhibitions.https://lnkd.in/eABX_4DC #eventprofs #associations #venues #conferences #meetings #events

Julius's post below is a great start when you're thinking about event design, and I'd encourage all organizations to take it into account when putting together an event. The first step for an organization though needs to be what are our non-negotiables for WHY we are putting on this event. Some of them may align with the below, others don't. One of my favourite types of events to plan are research-based conferences. They don't rely on sponsorship, and I don't know that attendees are overly concerned with being entertained. They want to share their research and connect with others who are interested in the same thing. Once we establish WHY we are having an event, then we build out the rest of the event design, including making sure it's one attendees want to go to.
